How do I register for upcoming conferences/conventions?

Each conference/convention session will have its own registration form.  This form is found online at https://mddedcelks.org.  Please note, if you register prior to the notification of it being open, your registration is not guaranteed.

Can I pay for conference via credit card?

Yes, this is the preferred method.

If I have a viable emergency, can I cancel my reservation?

Yes, depending on the timeframe of the needed cancellation, you may or may not receive reimbursement.
Can I bring a non-Elk guest to the Conference?  Yes, they just won’t be able to attend the business meeting on Saturday and Sunday.  They are welcomed during other events.

Am I required to attend conference?

Please double check with your leaders within your lodge, the State By-Laws and the State President.  If you cannot attend and you are a lodge or State officer, you will need to let your President, VP, DD or Sponsor know why you will not be in attendance.
How long does the conference last?

Conference/Convention typically begins on Friday with Advisory meeting, CB Exec, State Trustees; Saturday is CB at 8 am, general business meeting from 9-noon, then breakout sessions for officers, VPs, DDs, special invites, Committee chairs, dinner Saturday (at cost), meeting reconvenes Sunday at 9 through noon. Again, if you can’t attend, please let your leader know.  Attending just Saturday meeting does not constitute full attendance.

What is the attire for conference?

When meetings are in session, you should dress in your Lodge business meeting attire, dinner is typically a theme and will be posted or you can wear business attire.

Will there be additional costs throughout the conference?

We do hold raffles, sell pull tabs, merchandise and ask for donations, etc.  Dinners on Saturday are reserved and paid for in advance; other meals are not included in the conference weekend unless otherwise stated.

How do I find out where/when/costs of the upcoming conference?

You should check the state website often and look for an email from the ConCon Committee and on Facebook.  Once the registration is open for the next conference, you should make your reservations then.  Please make sure to read all information as some things are only listed within the registration form and the deadline is listed as well.  Once the room list is submitted to the hotel, it places a burden on the committee as well as the hotel to add rooms after the cutoff date.  Also note that there are times that you may have a personal account with a hotel chain and can make your reservations based on points.  This also places a burden on us meeting our hotel stay requirements.  It is advised to make your reservations through the proper procedures.

Does the committee select the hotel rooms for each person?

No, the committee submits the room list to the hotel and the hotel staff selects the rooms as shown on our list.  For example, if you request a kind size bed, if there are enough king-size beds when they get to your name, you will be placed in that room.  It is requested that if you have any special needs, please reach out to ConCon Chairperson personally, so accommodation can be forwarded to the hotel staff.

Where is the agenda for each conference/convention?

The agenda is located within the Newsletter.  Most of the time, the newsletter is sent to all members via email and is dispersed at each conference.

How can I help with ConCon events?

Two to three weeks prior to a conference weekend, there is a sign up that is sent via email and Facebook. We do ask for volunteers to help with bartending needs.  This is typically for a two-hour shift.  We do ask those volunteers to make sure you are mindful about making drinks.  We also ask for food donations (i.e. snacks, light-fare, sodas, water, etc.)  Please check with a ConCon member if you can help at any time.

The Grand Exalted Ruler visits our association in March. Is that scheduled by ConCon?

No, the March conference is not scheduled by ConCon. The hosting Lodge that is selected by the incoming State President works out details with the Sponsor, Special Deputy and State President.
